ONESOURCE FileRoom

To enhance the documentation functionality, ONESOURCE Tax Provision is integrated with ONESOURCE FileRoom. Within ONESOURCE FileRoom, users can attach a document at the Dataset Level, Unit Level or Component Level. When a document is attached regardless of the level, it is indexed; then, users can search for the document. Users can access these document in the ONESOURCE platform; therefore, users do not have to open the Global Access application, to access an attached file.


Note:

Hosted clients who log in through the ONESOURCE platform will have one free drawer available in ONESOURCE FileRoom when the license is activated. Users can then determine if they want to store and access their documents in ONESOURCE FileRoom. Please contact Support if users want to make this non-revokable choice.
Prior to version 9.0, users storing their documents in ONESOURCE FileRoom were required to attach documents at the lowest level which is the component level. Documents had to be added at the component level and attached to a dataset unit.

To access ONESOURCE FileRoom application:

1. In the navigator menu, click Documents and ONESOURCE FileRoom opens.

2. Select a drawer from the list.

If users already license ONESOURCE FileRoom, they automatically have access to all of the other drawers in the list.
If users do not have a license for ONESOURCE FileRoom separately, they will have access to 1 free drawer starting with v.9.0.

3. In Folder Criteria, select the Year, Period and Type. These are required fields.

4. In Workflow Criteria, select the Type. This is a required field.


Note: Some items are pre-populated if the document is attached at the component level such as the Description and File Name.


 

In the Documents dialog box, users set up the Documents Criteria required in order to store and access documents in ONESOURCE FileRoom.

5.To open the Documents dialog box, click Actions.

6.To open the Documents dialog box, click the ONESOURCE FileRoom icon.

7.In Documents, select the documents to attach.

8.To attach the document, click Add Document.

Note: If users attach documents at the lowest level (component level), the Index Values are pre-populated. The index values are completed based on the level users attach a document.


9.Click Browse to find the document to add to ONESOURCE FileRoom.
10.Click Save.

Example:

Because the document is attached at the component level (lowest level), the index values are automatically completed for Dataset, Unit Code, and Unit Name.

Notes:

The indexes for Event and Sub-Event changed to Class and Sub-Class.
If users create a Class/Sub-Class dataset and assign a class/sub-class to a component, then FileRoom defaults to the class/sub-class assigned.
If users create a Tags dataset and assign a tag to a component, then FileRoom defaults to DEF for class and Default for sub-class.
